CRM Solutions for Human Resources

As companies grapple with labour shortages and increasing competition, the strategic role of the Human Resource (HR) department is escalating.  HR must devote more attention to attracting and retaining knowledge workers with the necessary skills and experience.

HR needs to contain costs in creative ways, such as internal communications, benefits administration, forms processing and response to inquiries.

Reduce administrative costs and improve service

Benefits inquiry hotline – By entering their employee ID via the phone, employees can check the status of sick days or holidays, reducing the HR administrative burden.

Holiday request – Employees request holiday via the phone, which generates a message that is sent to the employee’s manager for approval.  The manager approves the request via a voice message and then forwards the request to HR for processing.

Information hotline – Non-urgent HR questions can be left as voice mail messages on a benefits hotline.  Callers receive a reference number and time to call back.  They call back, enter the reference number and hear a recorded response.  The application evens out workload between benefits personnel and provides tracking and reporting capabilities for the manager.

Employment screening – Job candidates can begin the application process by answering screening questions via the phone. The questions can include verbal responses in addition to touchtone responses.

Recruiting notification – After interviewing, non-exempt job candidates are given a phone number and reference number to obtain information about next steps.  Candidates can call the number to check the job status, and are given the option to leave a voice message.

 Automate routine tasks

Employment verification – To reduce costs associated with responding to requests for employment verification – for example from mortgage lenders – 1Voice can provide specific information via the phone.  After the caller enters the employee’s social security number, the application retrieves the information from a database.  The application then translates the information to speech, stating the from/to dates of employment and other information according to the company’s policy.

Interview appointment reminder – When a job candidate is scheduled to interview with multiple employees, the application can generate voicemail reminders for the interviewers.  The reminder can include date, time, duration and interviewee name, for example.

Time reporting and approval – Using the phone, employees can submit timesheets by project or client number.  After verification, the system generates a confirmation email or voice mail message for the employee, routing it to the manager for approval, if required.  This application reduces administrative costs and data entry errors.
