Software Solutions for Higher Education

In an ever-competing world, Universities, Colleges and Institutes of Further Education are all competing with each other for student intake. Not only will students decide where they study by the courses on offer but more so by the quality of services provided by the faculty.

While studying, a student’s time and the management of educational facilities can be made easier with the use of simple yet powerful telecommunications solutions. These solutions from 1Voice will help contain costs in creative ways, such as improved internal communications, administration, forms processing and response to inquiries.

Reduce administrative costs and improve service

Enrolment hotline – Students can inquire about available courses, request a prospectus and even enrol for a course through an Interactive Telephony Application. Data regarding the available courses and written material can be stored in a database and/or on a central fileserver, this information can then be retrieved live for each incoming call. Students can then be sent confirmation by fax, email or standard letter, all generated automatically by the system.

Library book renewals – Using the phone, students can request book or reference material availability from the Library. The required material can then be reserved for the student to pick at a later date. The system generates a confirmation SMS, email or voice mail message for the student to remind them of their reservation if required.

Exam Results Verification – Employers are increasingly looking for proof of a student’s exam results when he/she is applying for a job. Callers can either enter the student’s enrolment number if supplied or enter the student’s name via the touch-tone keypad of their telephone. The student’s name is confirmed along with their year of attendance and the student’s exam results can then be read to the caller.

Student Surveys – Obtain invaluable feedback from students by carrying out telephone surveys. Students can be invited to call a dedicated telephone number, where a series of questions can be posed and responses taken verbally or by scoring a response using the keypad. The results are immediate as they are entered directly into a database, where reports are made available. New surveys can be created easily using our Graphical User Interface.

 Attract Students with better facilities

Student Voicemail – What better way for students to communicate than by each student owning their own personal voicemail box? A place for messages to be left and the ability for them to record and send messages to other students. Notification of new messages can be sent directly to a mobile phone by SMS.

Student Loan Application/Statement – Students can apply for a Loan or query the status of an existing Loan or Grant. If still at the application stage, a status can be given along with copies of the Award Letter if required.

Exam Results Services / Notification – Exam results publication can be a very expensive undertaking for colleges and universities and is fraught with potential risk of human error and delays. By automating the publication of these results through the use of Telephony Applications or Web based services can greatly speed up and secure this process. Students can be given a personal number to identify themselves for access to the system and their results can be read to them, with optional confirmation sent by email, fax or standard letter. Students could even request the results be notified to them by email, voicemail or SMS message to their mobile phone automatically when they become available.

Virtual Help Desk – Students can leave requests for service or information 24 hours a day in confidence. Their call is handled automatically and a reference number is issued for them to call back when a response to their request is available. Responses can also be notified to them by SMS message. Typical uses could be a residential enquiries, course material questions etc.
